Clubhouse & Hut Bookings for Sections

The ACC gives sections the largest booking window and most flexible payment plan available across all groups. This is a deliberate choice to support programming led by our sections and create lasting memories in the alpine.

What qualifies as a section trip?

To access section booking benefits, the trip must meet all four criteria:

  • The trip is run by the section for the benefit of all section members — not as a private guide trip
  • The trip is available to all section members
  • The trip is advertised simultaneously to all members (not filled before being posted)
  • Registration is through the section site and references the ACC waiver

Booking procedure

  1. Contact Lauren to reserve All reservation requests must go through Lauren: [email protected]. Provide the dates and number of members only — guest details are not needed at this stage. Include the Section Chair and Financial Coordinator on the email.

  2. Post the trip within 2 weeks Once the reservation has been created, it must be posted on the section website within 2 weeks of booking.

  3. Arrange payment Payments should be made by the section on the due date — ideally on a section credit card. Cheques and direct deposit are also accepted. Payments should not be made on a trip coordinator's personal card.

  4. Retrieve the hut code The trip leader must reach out to the Chair or Financial Coordinator (who is the main contact on the booking) to obtain the hut code 7 days before the trip.
